The film
One test couple, the whole way - from the first message to the Germany board, in about a minute.
At a glance
A connector that runs the busywork of a wedding-abroad agency: every enquiry lands on the right board, the consultation notes fill themselves in, and offers, contracts and reminders are prepared - ready for a person to check and send.
01 - The problem
A dream wedding abroad runs on a surprising amount of copy and paste.
Marry More organises civil, humanist and LGBTQ+ weddings and vow renewals abroad - Germany, Denmark, Austria, Portugal, Madeira, the US and more. Couples get in touch however they like: a form on one of many landing pages, an Instagram message, Messenger, an email, an ad. Every one of those had to be found, read and typed into Monday by hand, and the same couple writing twice from two places became two cards.
After the consultation someone wrote up the notes, picked the latest offer template for the right country, put the folder together on Drive and wrote the email. Then came the personal details for the contract, collected over several messages, and the contract itself, filled in by hand - where a single wrong ID number really matters.
And that was only the start. Each country has its own office, translators, documents and deadlines, all tracked across Monday, Gmail, Drive and calendars. The team was great with couples. The tools between them were doing the opposite of helping.
02 - The vision
Automate the busywork. Keep people in charge of every couple.
Three rules shaped every step we built:
- Prepare, don’t send. The automation writes the offer, the contract email and the reminders - and leaves them as drafts in the couple’s own email thread. A person reads, adjusts and clicks send. Couples always hear from people, never from a robot.
- Monday stays the cockpit. No new tool to learn. The team changes a status on the card they already use, and the next step happens on its own. Every action leaves a short note from the bot on the card, so anyone can see what happened and when.
- Sensitive data goes only where it’s needed. ID and passport numbers travel straight from the couple’s form into the contract in their folder - and nowhere else. AI suggestions are always marked as suggestions and never overwrite what the couple typed themselves.
03 - Who it’s for
Built around the people who carry a couple from “hello” to “I do”.
The sales team
Every enquiry appears on the board with the country, the source and the original message. Duplicates are merged. One status change prepares the invitation to a consultation, the next one the offer.
The couple
A confirmation and a reminder before the consultation, then one link to their “couple card” on the phone - already partly filled in from the conversation. They check it, add their details, pick the country and send.
The coordinators
The card moves to its country board with the wedding date in the calendar. Drafts for translators and couples appear at each stage, reminders come before every deadline, and a red flag goes up when time is short.
The owner
A panel on the agency’s own domain to edit every email without a developer, and a costs view where invoices dropped into a Drive folder are read by AI and lined up for approval.
04 - Technology & the challenge
One connector between six tools - and a real world that never sits still.
At the centre is a custom connector that listens to the website forms, the inbox, social messages, the booking calendar and the meeting recorder, and talks to Monday, Gmail, Google Drive and Calendar. AI reads free-form messages and consultation transcripts and turns them into tidy fields on the card. Offers and contracts are built from the agency’s own templates - always the newest version on their Drive, so the team can update a template without asking anyone.
The hard part wasn’t the happy path. It was everything around it: a couple writing from Instagram and then by email, a reply that just says “wonderful, thanks!”, a column renamed on a board, Monday briefly down at the worst moment. So every enquiry is saved before anything else happens and retried until it lands, a renamed or deleted column is caught and reported instead of silently breaking a channel, and hundreds of automated tests guard each release. Most of the work went into making it boringly reliable.
05 - The workflow
Enquiry. Consultation. Offer. Contract. Coordination.
A message comes in and becomes a card. The team sets “arranging a meeting” and a draft with the booking link is waiting in the thread. After the consultation, the notes land on the card on their own. “Offer to send” creates the couple’s folder and the offer email. The couple fills in their card on the phone, and the contract appears in their folder as Word and PDF, with the signature already in place. One more status and the card moves to its country board, where dates, reminders and drafts take over.
06 - Feature highlights
The team owns the words. The automation does the rest.
Every message a couple receives can be edited by the team in their own panel - with a preview, a test email to themselves and a full history to roll back to. No developer, no deploy, changes live immediately.
+ Consultation notes on the card
The recorded consultation is matched to the right booking, summarised by AI and posted on the card - with the chosen country and the details that pre-fill the couple’s card.
+ Reminders that know the calendar
Before the consultation, before the wedding day and after it - plus a nudge when a couple has gone quiet. Every timing is a setting the team can change themselves.
+ Costs without spreadsheets
Invoices saved to a Drive folder are read by AI, matched to the right couple and queued for a person to approve. Existing spreadsheets were imported, so nothing started from zero.
+ Watching its own back
If a channel goes silent, a board changes or a step fails, the team gets an email and the event waits to be retried - so an enquiry is never dropped quietly.
07 - Results
Live in the agency’s everyday work.
The connector has been running in production since June 2026 and grew in weekly sessions with the team - from catching enquiries to offers, contracts, country coordination and costs. Couples meet it as a clean form on formularz.marrymore.pl; the team runs its content from panel.marrymore.pl.
