At a glance
An AI voice receptionist for Polish service businesses - it picks up the phone, holds a real conversation, books the visit in your calendar and texts the confirmation. 24/7.
01 - The problem
Every missed call is a customer calling your competitor.
Small service businesses - mechanics, driving instructors, chimney sweeps, physios, groomers - lose up to 25% of revenue to unanswered calls. The owner works with their hands: under the hood, on the roof, behind the wheel, with a patient. The phone rings a third time that day and goes silent. The caller doesn’t leave a voicemail - they just dial the next number on Google.
A human receptionist costs 4-6k PLN a month and goes home at five. Voicemail is a graveyard nobody checks. IVR menus (“press 1 for…”) make people hang up faster. For a one-person workshop, none of these are real options.
Heyheyo exists because the obvious thing had to be shipped: someone who picks up, says “hej” in natural Polish, understands what the caller needs, and books the visit - in the half-second before they hang up, while the owner keeps both hands on the job.
02 - The vision
Don’t sell technology. Sell someone who picks up and says “hej”.
Three product principles drove every decision:
- Human, not a robot. A warm Polish “hej”, a natural conversation, no “press 1” menus and no corporate script. The caller shouldn’t feel they reached an automation - they should feel someone who actually had time for them. We deliberately didn’t name it another “-bot” or “-AI”.
- Done, not just answered. Answering is the easy part. Heyheyo finishes the job: it checks the calendar, books a real slot in real time, sends the caller an SMS confirmation, and pings the owner’s dashboard live. The owner gets a full calendar, not a list of missed calls to return.
- Works while you work. Picks up in about half a second, replies with barely any delay, runs around the clock every day of the year. At 7:00, at 22:00, on Saturday. The whole point is that the owner never has to stop what they’re doing.
03 - Who it’s for
Built for people who work with their hands - and keep missing the phone.
Driving schools (OSK)
Heyheyo’s 98/100 fit. Instructors are legally banned from answering while teaching - the call is missed by definition. High student lifetime value makes every booked lead matter.
Mechanics & tyre shops
Hands in grease, head under the hood, machinery noise. Lots of short calls and brutal seasonal peaks (tyre-change season). Every unanswered ring is a car going to the next garage.
Chimney sweeps & gas service
On the roof, can’t pick up, can’t call back fast enough. Sharp seasonal call spikes. Heyheyo answers and books while they finish the job safely.
Physios, groomers, salons
Hands on the patient or the pet - you don’t stop mid-session to take a booking. Heyheyo fills the calendar in the background so no slot goes empty.
04 - Technology & the challenge
A modern voice stack, one genuinely hard problem.
Heyheyo runs on a modern voice stack: it answers a phone call, understands natural Polish speech in real time, holds a genuine back-and-forth conversation, and books a real slot in the calendar - then texts the caller a confirmation and updates the owner’s dashboard the moment it happens. The speech recognition is tuned specifically for Polish, so names, dates and phone numbers come through cleanly, and the assistant reads the important details back to the caller to make sure every booking is right.
The hard part is time. On a phone call, people notice even a short silence, so the whole loop - hearing the caller, understanding them, and replying in a warm, natural voice - has to happen in well under a second, or the conversation starts to feel robotic. Getting that to feel quick and human, in Polish, running reliably around the clock, is where most of the work went.
05 - The workflow
Answer. Talk. Book.
The whole call is over in about 30 seconds, hands-free. The phone rings, the assistant picks up in about half a second and says “hej”, then listens, understands the request in Polish, checks the live calendar, books a real slot, sends the caller an SMS confirmation, and pushes the booking to the owner’s dashboard the instant it lands. The owner never stopped working.
06 - Feature highlights
What it does, on every call, in production.
Each capability closes a specific gap between a ringing phone and a booked, confirmed appointment - in natural Polish, with no app for the caller to install.
+ A dedicated page for every trade
Separate pages for driving schools, mechanics, chimney sweeps and more - each one written in the language of that specific business, so owners instantly recognise their own world.
+ Knowledge base & proper invoicing
Owners upload their price list or FAQ and the assistant answers callers’ questions straight from it. Billing runs on pay-per-minute usage with proper VAT invoices, ready for Poland’s new e-invoicing rules.
07 - Results
Live, and answering in Polish.
Heyheyo is in production on heyheyo.com - an invite-only beta taking real calls on real Polish phone numbers and writing real bookings straight into the calendar.
